The Aviva Line Manager Toolkit: Mental Health can help your line managers spot the warning signs of poor mental health, identify reasonable adjustments, and manage professional boundaries. It also empowers them to feel more confident in having supportive conversations with team members.
Please read the below information with care, so that you can find out more about the way the Line Manager Toolkit works. Upon acceptance of the Corporate Terms and Conditions, it's important you also review the content within the toolkit. This is to ensure it complements your own internal policies and procedures, prior to launching within your business.

1. GENERAL
These Terms and Conditions (the "Terms") relate to the provision of access to the Aviva Line Manager Toolkit: Mental Health (the "Line Manager Toolkit") to the Policyholder. The Line Manager Toolkit is an added value benefit offered alongside an Aviva private medical insurance policy, healthcare trust scheme, group income protection policy, group critical illness policy, group life policy, group personal accident policy or business travel insurance policy (each a "Scheme") purchased by the Policyholder and provided by Aviva Health UK Limited and/or Aviva Insurance Limited and/or Aviva Life & Pensions UK Limited each and together as applicable, ("Aviva" and "we", "us" or "our").
Terms defined in the Scheme documents have the same meaning when used in these Terms.
The Policyholder’s receipt and use of the Line Manager Toolkit is at no additional charge. Access to the Line Manager Toolkit is not available separately to the Scheme.
The Line Manager Toolkit is a series of modules available via the aviva.co.uk website enabling users to access guidance relating to and designed to enhance the user’s knowledge in supporting employees with mental health in the workplace.
The Policyholder acting via its nominated Group Administrator or other such authorised person should read these Terms carefully before accessing the Line Manager Toolkit. By clicking “Accept and continue” the Policyholder is deemed to have accepted and agreed to follow and be bound by these Terms. If the Policyholder does not agree to any of these Terms, the Policyholder should not click accept.
The Policyholder by permitting its line managers access to the Line Manager Toolkit retains responsibility at all times for ensuring that the content and purpose of the Line Manager Toolkit is compatible with, and does not contradict, the Policyholder’s own internal human resources/employee policies or wellbeing support services.
2. ACCESS TO THE LINE MANAGER TOOLKIT
Access to the Line Manager Toolkit is only permitted if users reside in the UK, the Channel Islands or the Isle of Man. The Policyholder shall not permit, enable or encourage access of the Line Manager Toolkit from outside the UK, the Channel Islands or the Isle of Man.
The Policyholder may receive and use the Line Manager Toolkit for the duration of the Scheme unless: (a) we withdraw the Line Manager Toolkit from our offering; or (b) the Policyholder or its employees act in breach of these terms and conditions or the End User Terms and Conditions; or (c) the Scheme is cancelled or otherwise terminated.
Following acceptance of these Terms, the Policyholder should download the Line Manager Toolkit Employee Engagement Materials and distribute to their line managers. The Employee Engagement Materials shall advise the line managers of the availability of the Line Managers Toolkit and invite them to access it via the url provided. The Policyholder has sole responsibility for selecting which employees are classed as line managers who are eligible to access the Line Managers Toolkit. For the avoidance of doubt, the Line Manager Toolkit should not be distributed to all employees.
In order to be eligible to access the Line Manager Toolkit, each line manager must be (i) aged 16 or over; (ii) be a current employee of the Policyholder (or a Participating Company, if applicable) and (iii) have been invited to access the Line Manager Toolkit by the Policyholder. However, the line manager does not need to be insured under the Scheme (or under any other policy with us or the Aviva Group) in order to be eligible to access the Line Manager Toolkit.
The line manager’s access to the Line Manager Toolkit is subject to their acceptance of the end user terms and conditions which will appear when they try to access the Line Manager Toolkit ("End User Terms"). These can be viewed by the Policyholder here and must be accepted by the line manager before access to the Line Manager Toolkit will be enabled for them (such person then being an "End User”).
Please note that, access to the Line Manager Toolkit is strictly for the Policyholder and its line managers only, and no other person. Dependants and spouses/partners of the line managers are not eligible for access to the Line Manager Toolkit (even if they are covered by the Scheme) and neither the Policyholder or its line managers are permitted to share the url or any content from the Line Manager Toolkit with them or any other person not otherwise permitted by these Terms.
End Users will not be permitted access to the Line Manager Toolkit upon termination of their employment with the Policyholder (or Participating Company, if applicable).
The provision of any management information to the Policyholder on the usage of the Line Manager Toolkit and/or End User survey responses (if applicable) will be presented on an aggregated and anonymised basis.
3. TECHNICAL REQUIREMENTS
In order to use the Line Manager Toolkit, End Users’ devices must be capable of running one of the following internet browsers: Internet Explorer 11, Safari (latest version), Chrome (latest version), Firefox (latest version), Edge (latest version).
4. THE TOOLKIT
The Policyholder understands and accepts that the Line Manager Toolkit is designed to:
- provide generic guidance for line managers on how to support and manage employee mental wellbeing in the workplace; and
- offer practical advice on how to spot changes in mental wellbeing, approach conversations with employees about their mental health and signposting to support agencies or services.
The Policyholder understands and accepts that the Line Manager Toolkit does not constitute:
- personalised or targeted health or medical advice for line managers to pass on to their employees;
- health or medical advice for the treatment of specific acute or chronic mental health conditions (such as depression, anxiety etc). See section 6 for further details; or
- a replacement for any existing treatment pathways in place for managing mental health such as mental health pathways, or Occupational Health Services, including but not limited to those at your workplace.
5. INTELLECTUAL PROPERTY RIGHTS AND LICENCES
All text, software, music, sound, photographs, graphics, video, page layout and design or other material and content contained in the Line Manager Toolkit or information presented through the Line Manager Toolkit by us is protected by our/our licensors’ copyright, trademarks, service marks, patents, or other proprietary rights and laws.
The Aviva trademarks and logo, and other trademarks indicated in the Line Manager Toolkit, are trademarks of Aviva/our licensors or our/their affiliates.
Except as we or our licensors may expressly authorise in writing, the Policyholder agrees not to, or permit End Users to, modify, copy, reproduce, republish, upload, post, transmit, rent, loan, sell, lease, license, sub-license, create in any way derivative works from the Line Manager Toolkit in whole or in part.
Where the Policyholder or End Users are permitted to download content from the Line Manager Toolkit, the content is only permitted to be distributed to persons employed by the Policyholder in connection with maintaining their mental health and wellbeing in the workplace and otherwise in accordance with these Terms and the End User Terms.
The Policyholder agrees not to, nor permit any other person to, modify the software, content and videos used in any manner or form, or to use modified versions of such software, for any purpose, including obtaining unauthorised access to the Line Manager Toolkit.
The Policyholder agrees not to, nor permit any other person to, access the Line Manager Toolkit by any means other than through the interface that is provided by us. The Policyholder agrees not to (and agrees to use its best endeavours to procure that no other person does not) share (i) the invitation to use the Line Manager Toolkit or (ii) the url accessible after agreeing to these Terms or the End User Terms with anyone other than eligible line managers as described above.
6. DISCLAIMER
The Line Manager Toolkit is not a medical device or service. Information provided within the Line Manager Toolkit is for informational purposes only. It does not constitute professional health or medical advice and is not meant as a substitute for the advice of a doctor or other health professional, including other qualified mental health care professionals, and should not be treated or relied upon as such. The Policyholder understands and agrees that the information available on or through the Line Manager Toolkit is not to be used for diagnosing or treating a mental health condition.
The third party organisations signposted in the Line Manager Toolkit may not all be available in the Channel Islands and/or the Isle of Man. If Policyholders or End Users are resident in the Channel Islands or Isle of Man they should speak to their HR department for guidance on suitable organisations available for support in their location.
The Policyholder, line managers and employees should always seek and/or advise others to seek the advice or guidance of a doctor or other qualified mental health care professional regarding any questions they or others may have regarding a mental health condition. Never disregard professional health advice or delay in seeking it/advising others to seek it because of something the Policyholder or End User may have read on the Line Manager Toolkit which is only designed as generic guidance.
To the maximum extent permitted by law, the use of the Line Manager Toolkit is at the Policyholder and End User’s risk, and the Line Manager Toolkit is provided on an "as is" and "as available" basis. To the maximum extent permitted by law, we make no warranties, express or implied, in relation to the use of the Line Manager Toolkit including, but not limited to any warranties: (a) of fitness for a particular purpose, (b) of satisfactory quality, (c) of accuracy, reliability, completeness, or timeliness of the material, services, software, text, graphics, and links available through the Line Manager Toolkit, (d) that the Line Manager Toolkit will meet the Policyholder’s or End User’s requirements, (e) that the Line Manager Toolkit will be uninterrupted, timely, secure, or error-free, or (f) that the results that may be obtained from the use of the Line Manager Toolkit will be accurate or reliable.
7. LIMITATION OF LIABILITY
Subject to the following and to the maximum extent permitted by law, we and our licensors shall not be liable for any losses, damages or disappointment, suffered by the Policyholder, its line managers or any other person, as a result of the Policyholder or such person’s receipt and use of all or any part of the Line Manager Toolkit, whether these arise directly or indirectly as a result of its/their use of or inability to use the Line Manager Toolkit, and whether under contract or tort (including negligence), or resulting from any other matter relating to the Line Manager Toolkit. We do not limit or exclude our liability for personal injury or death caused by our negligence, for fraud or for any other liability which cannot be legally excluded or limited.
8. GENERAL
We may in our sole discretion and at any time stop providing the Line Manager Toolkit, or any part of it, with or without notice. We shall not be liable to the Policyholder, End Users, or any other person or third party for any withdrawal or termination of access to the Line Manager Toolkit. We also reserve the right to amend or modify the content at any time. Content which is downloaded will be up to date and accurate at the date it was published. Please be aware of the publication date when the content is downloaded to ensure materials are up to date.
No personal data will be collected, processed or stored by using the Line Manager Toolkit. Aviva may receive reports on website usage and survey responses (if completed), comprising aggregated and anonymised data which may be shared with the Policyholder.

Calls may be monitored and/or recorded. Charges may apply for calls outside the UK. For queries about the application or use of the Line Manager Toolkit, End Users should refer to their internal HR team.
The laws of England and Wales shall govern the provision and use of the Line Manager Toolkit and in the event of a dispute the Policyholder irrevocably submits to the exclusive jurisdiction of the English Courts. If any provision of these Terms is found to be invalid by any court having competent jurisdiction, the invalidity of such provision shall not affect the validity of the remaining provisions of these Terms, which shall remain in full force and effect.
No failure or delay by us or you to exercise any right, power or remedy will operate as a waiver of it nor will any partial exercise preclude any further exercise of the same, or of some other right, power or remedy. No waiver of any provision of these Terms shall be deemed a further or continuing waiver of such term or any other term.
We may update these Terms from time to time without notice by amending this page, which should be read and accepted each time the Line Manager Toolkit is accessed via the url in the policy documents. The Terms can also be accessed at https://workplace.aviva.co.uk/gci-wellbeing/gci-line-manager-toolkit/gci-line-manager-toolkit-corporate-terms/. The Policyholder throughout the Policy agrees to regularly read and check the Terms displayed via the above url to ensure it understands the terms that apply to access at that time. If the Policyholder does not agree to the updated Terms, it should not click accept and should immediately cease permitting access for its line managers to the Line Manager Toolkit.
